Ask in writing, ask early, and ask only for an exemption the event's own rules describe. If the page lists a distance cutoff, a family stay or a points exception, you have something to ask about. If the page says no exceptions, the honest answer to "how do I get out of it" is that you cannot, and the useful move is to price the block against your other options.
This article is for asking permission the rules allow. It is not a guide to getting around a requirement. Booking outside a block without approval can get a team removed or charged a fee, and several events say so plainly.
What exemptions do tournaments actually offer?
Three kinds show up most often. Team Travel Source, the housing company behind many events, lists them as "common exemptions" in its own explainer: using loyalty points for a free room, living within a set distance of the venue, and military or government discounts. (TTS)
Here is how that looks on real event pages we opened.
| Event | Distance exemption | Family or friends | Points | Source |
|---|---|---|---|---|
| Palmetto Region volleyball | Within 45 miles driving, address verified, "subject to PVA Region approval and discretion" | Not addressed | Not addressed | Palmetto |
| Northern Lights Qualifier (volleyball) | Local means within 50 miles of the Minneapolis Convention Center | Not addressed | Not addressed. Page says buyouts and waivers are not possible | NLQ |
| KC Sports Housing events | Clubs within 50 miles exempt, request at least 30 days out | Not addressed. Opt-out for a rental home, for a fee | Opt-out for $600 per team, per event (request no later than 45 days out) | KC Sports Housing |
| Florida Region volleyball | Practice facility within 75 miles | Staying with family or a friend within 75 miles of the venue | A fully free stay on points is allowed | Florida Region |
| Defender Hockey Tournaments | Teams with a home rink 75 miles or less away are not covered | Not addressed | No. Page says no hotel reward points, discounts or other rates "will be allowed. No exceptions." | Defender |
| TCS Hockey | Local teams (75 miles) excluded | Not addressed | Not addressed. Page says $500 fee, "Absolutely No Exceptions" | TCS Hockey |
| Nike Tournament of Champions Southwest | Within 80 miles, must still complete the housing form | Not addressed | Not addressed | TOC |
| NCVF National Championships | School within 75 miles, verified by mapping, vetted by TTS and NCVF | Not addressed | Not addressed | NCVF |
Volleyball Canada's national championships (a stay-to-play event under Hudson Travel Group) show a fuller process. It offers a local exemption for teams or athletes within a set distance, including those staying with friends or family there, plus a "special exemption" reviewed case by case by a Stay to Play Review Committee. It says it will respond within 10 business days. (Volleyball Canada)
Rules change by event and year. The same organizer can use different terms for different tournaments.
Is there an exemption for staying with family?
Sometimes. This is the one parents ask about most, and the answer varies a lot.
The Florida Region allows it for a friend or family member living within 75 miles of the venue. Volleyball Canada offers a form for it. Many hockey event pages we read say nothing about it, and some say no exceptions.
Oklahoma City attorney Molly Tolbert told Oklahoma Watch that buyouts seem to show some tournaments are replacing revenue rather than helping families get the best rate. She said that if organizers were trying to help, they would respond to a family stay with, "Great, glad you found a cheaper option," and "They don't say that." That is her characterization of some events, not a description of every organizer. (Oklahoma Watch)
If the page is silent, that is a question for the director, not a license to assume yes.
What should I have ready before I ask?
Organizers who grant exemptions want proof and want it early. A short list:
- The event name, dates and your team name or code.
- Your home or practice address. Palmetto requires address verification for the team's primary practice facility. Northern Lights lists the evidence it will use, and says a team with fewer than 80% of its players within 50 miles is not local.
- The mileage or drive time from a mapping tool. NCVF says distance must be verifiable through a mapping site. Screenshot it.
- A copy of the policy text you are relying on, with the URL and the date you read it.
- For a family stay: the host's name and address and their distance from the venue.
- For points: a screenshot showing the reservation is fully free.
- Your timeline. KC Sports Housing requires exemption requests at least 30 days before the event.
Be accurate. Northern Lights warns that a club that "attempts to use an address within the 50 mile limit for the purposes of claiming to be a local team will not be granted 'Local' status." Do not stretch the facts.
How do I ask the director politely?
Keep it short, factual and friendly. The director is often a small staff handling hundreds of teams. Sports Destinations, writing for event planners, says exemption policies should be clear about waivers for those "within driving distance of the site" with written proof, and that stay-to-play "is only as effective as the person who monitors it." Make their job easy.
Tips:
- Email, not a call. You want a record.
- Go through the right person. Some events route requests to the housing company (NCVF directs exemption requests to volleyball@teamtravelsource.com on its FAQ). Check the page for the right contact.
- Cite the policy. "Your page says X. I believe my situation fits."
- Ask one question. Do I qualify, and what do you need from me?
- Do not book first. Wait for a written answer.
- Say thanks, and save the reply.

Subject: Stay-to-play exemption question, [Team name], [Event name]
Hello [Director name],
I'm a parent on [Team name, age group] and we're registered for [Event name] on [dates]. I read the hotel policy on your site ([URL], read on [date]). It says [quote the line about distance, family or points].
Our team's primary practice facility is at [address], which Google Maps shows as [X] miles ([Y] minutes) from [venue]. I've attached a screenshot.
Could you tell me whether we qualify for the exemption, and what documentation you need? If we do not, could you let me know whether an opt-out or other option exists, and the cost?
We'd like to follow the policy, and we plan to wait for your reply before we book anything. Thank you for your time.
[Name, phone, team name]
For a family stay, replace the middle paragraph with the host's address and distance. For points, say you will attach a confirmation that the stay is fully covered.
What if the answer is no?
Then the policy is the policy. A few next steps that stay inside the rules:
- Ask if a paid opt-out exists. KC Sports Housing publishes a $600 per team opt-out for teams using rental homes or points. Other events publish none. Northern Lights says buyouts and waivers are not possible.
- Price both options. Add up the block rate, taxes, booking fees and cancellation terms against your alternative. Use our trip cost calculator.
- Tell your club. Club directors can raise concerns with organizers, and they see policies across many parents.
- Consider a different event. Our list of tournaments with no hotel requirement is a start.

Frequently asked questions
What is the most common stay-to-play exemption?
Distance. Published cutoffs we found range from 45 to 90 miles, including 45 (Palmetto Region), 50 (Northern Lights, KC Sports Housing), 75 (Defender, TCS Hockey, Florida Region, NCVF) and 80 (Nike Tournament of Champions Southwest). Each event sets its own, so read the page.
Can I use hotel points instead of the official block?
Only if the event says so. The Florida Region's policy allows a fully free stay redeemed with points. KC Sports Housing offers a paid opt-out for teams using points. Other events, such as Northern Lights, say no buyouts or waivers exist. Ask before you book.
Can I stay with family and skip the hotel block?
Some events allow it. The Florida Region exempts a family stay with someone living within 75 miles of the venue. Volleyball Canada offers a form for staying with local friends or family. Many hockey events publish no family exemption. Ask in writing.
When should I ask for an exemption?
As early as possible and before you book. KC Sports Housing requires exemption requests at least 30 days before the event. Volleyball Canada says it responds within 10 business days. Do not book outside the block first and ask later.
What if the director says no?
Ask whether a paid opt-out exists, get the answer in writing, and compare costs before deciding. Some events state flatly that there are no exceptions. Then your choices are to book the block or skip the event. Do not work around the rule.
