If your tournament has a stay-to-play rule, a rental usually does not satisfy it. Some event pages say so by name. If the event has no housing rule, an Airbnb or similar rental is allowed, and whether it beats a hotel comes down to your total price, your cancellation risk and who else needs a room on your team.

Check the rule first. Then price both options on the same basis.

Can I use an Airbnb if my tournament has a stay-to-play rule?

Probably not, unless the event offers a rental option. Here is what the pages we opened say.

Event or organizer What the page says about rentals and outside bookings Source
Nike Tournament of Champions Southwest "Teams should not book directly with the hotel, through third party sites, or at any other hotels or vacation rentals including Airbnb." Non-compliant teams "will not be scheduled to compete." TOC
KC Sports Housing events Opt out of Stay and Play for "$600 per team, per event." The opt-out is "only available for teams staying in a vacation or rental home or using hotel reward points." KC Sports Housing
Palmetto Region volleyball Rooms must be booked through EventPipe to count toward the team's minimum. "Reservations made outside the system will not be credited and may be subject to cancellation." Rentals are not addressed. Palmetto
Northern Lights Qualifier Non-local teams must use an approved hotel booked through THS. "It is not possible to 'Buyout' from the Stay & Play policy." NLQ
Defender Hockey Tournaments Teams more than 75 miles away "MUST book rooms through the Defender Tournaments." Page says no other rates, discounts or reward points are allowed, "No exceptions." Defender
Florida Region volleyball Allows a fully free stay redeemed on points and a stay with family or a friend living within 75 miles. Rentals are not mentioned. Florida Region

The pattern: the rule is about the block, not about whether a hotel is good or bad. If your event lists a buyout, as KC Sports Housing does, a rental becomes an option at a published price. If it says no buyouts, it does not.

A rental booked first and explained later is a gamble. Events can match registration lists against hotel booking records, and the penalty on several pages is removal without a refund. Ask the director in writing before you book. Our exemption guide has a sample email.

If your tournament has no housing requirement, you are free to compare. Our book-anywhere list shows which events we found with no rule.

What does an Airbnb cost compared with a hotel?

Run it on one page. Both sides have fees that do not show in the headline price.

Airbnb side. Airbnb's help center says guests pay a service fee of 14.1% to 16.5% of the booking subtotal (nightly price plus host-charged fees, excluding the guest fee and taxes) under the split-fee model. Under the single-fee model, the host pays 15.5% and guests pay no separate service fee. Airbnb says you can see the breakdown before booking. (Airbnb) Cleaning fees, taxes and any pet or extra guest fees set by the host come on top.

Hotel side. A block rate has a nightly price, tax and often a booking fee. Examples we found: $8.95 per room per night non-refundable at Impact Housing, $9.99 per reservation on an NCVF event. Hotels may also charge resort or parking fees.

The FTC's fees rule, effective May 12, 2025, covers both. It requires businesses to show the total price including mandatory fees up front, for hotels and for vacation rentals offered through platforms like Airbnb or Vrbo. (FTC) Use the total, not the teaser rate.

Here is a worksheet. The numbers are placeholders, not market prices.

Line Hotel block Rental
Nightly price $___ x nights $___ x nights
Cleaning or resort fee $___ $___
Platform or booking fee $___ $___
Taxes $___ $___
Rooms or bedrooms needed ___ ___
Parking $___ $___
Breakfast $___ (if included) $___ (groceries)
Total
Per family

Our trip cost calculator has the same lines. Rental math works best when two or more families split a house and everyone's schedule matches. It works worst for one family of four with a one-night game schedule.

Which cancellation terms are better?

Compare the terms. Airbnb standard policies for stays under 28 nights, per its help center:

Policy Full refund window
Flexible Until 24 hours before check-in
Moderate 5 or more days before arrival
Limited 14 or more days before check-in (50% refund 7 to 14 days)
Firm 30 days before check-in (50% from 7 to 30 days)
Non-refundable Not under the standard policy, except the 24-hour period

Source: Airbnb Help. The host chooses the policy and it appears on the listing.

Hotel block terms vary. Several hockey pages use a 72-hour individual cancellation rule (Defender, Nickel City). Impact Housing says a team can cancel up to 60 days before without penalty. KC Sports Housing takes cancellations up to 30 days. See our cancellation article for the full list.

For a tournament, the schedule is the risk. Brackets are often set days before the event. A 72-hour hotel rule can be more forgiving than a Firm rental policy with a 30-day window, or less forgiving than a Flexible one. Read the actual terms.

What about my team's room-night minimum?

A rental can hurt the team even when it is allowed. Many events set a team minimum, such as 15 room nights at Northern Lights or 12 for a three-day Palmetto event. Palmetto fines teams $50 per room night short. If several families leave the block, the team can fall below the minimum. Talk to your manager before you decide, and read what an attrition clause means.

When does an Airbnb make sense?

When the rules allow it, these cases tend to favor a rental, based on how the costs work:

  • Two or three families split one house.
  • A long stay of four or more nights.
  • You need a kitchen to cook for athletes. Groceries often cost less than eating out, but we have no sourced number to give you.
  • The venue area has few hotels.

Hotels tend to win when:

  • You need one night only.
  • You want a flexible cancellation window.
  • The team wants to stay together near the venue. Team Travel Source lists keeping groups together as a benefit of blocks, though that is the company's own claim.
  • Your event gives block perks. TTS says official blocks may include free breakfast and waived resort fees. Ask what is included, since we could not verify it for any specific event.

Will Airbnb allow a group of families?

Usually, but read the listing. Airbnb has used risk screening for possible party bookings. A 2022 Sports Destinations article described heightened screening based on stay duration, listing size and timing, and worried that legitimate groups such as youth sports parents could be flagged. The article is from May 2022, so confirm the current rules with the host and Airbnb. Message the host before booking, say it is a youth team, and state the number of guests. (Sports Destinations)

What is the simplest way to decide?

  1. Read your event's housing page. If it requires the block, book the block, or ask for an exemption the rules describe.
  2. If it has a published opt-out for rentals, price the fee.
  3. If it has no rule, fill in the worksheet above for both.
  4. Compare the cancellation terms against how firm your schedule is.
  5. Tell your manager what you chose.

Frequently asked questions

Can I stay in an Airbnb at a stay-to-play tournament?

Not if the event requires the official block. The Nike Tournament of Champions Southwest page tells teams not to book at any other hotels or vacation rentals including Airbnb. A few events offer a paid opt-out for rentals, such as KC Sports Housing at $600 per team, per event.

Is an Airbnb cheaper than a hotel for a tournament weekend?

Sometimes for large families or groups sharing a house, but not reliably. Airbnb guest service fees run 14.1 to 16.5 percent of the booking subtotal on the split-fee model, plus any cleaning fee. Compare the total with taxes against the hotel's all-in price.

What are Airbnb cancellation policies for tournaments?

Hosts pick from policies such as Flexible (free cancellation until 24 hours before check-in), Moderate (5 days), Limited (14 days for a full refund) and Firm (30 days). Airbnb's help center lists them. Check the policy on the listing before you book, because tournaments can change schedules.

Do hotel stay-to-play blocks include any perks?

Housing companies say they can. Team Travel Source says official blocks may include free breakfast and waived resort fees. We have not independently verified those perks for any specific event, so ask your event's housing page what is included before you compare prices.

Does Airbnb allow group bookings for youth teams?

Airbnb screens high-risk reservations for party risk, looking at stay length, listing size and timing, and Sports Destinations raised concern in 2022 that tournament groups could be caught up in it. Read the listing's house rules and message the host first.
